What VendorDue reads from Shopify
In short
VendorDue reads your orders and products from Shopify and never writes back. It reads each order as it happens, checks your whole store twice a day, and can read the last 60 days when you install. It keeps no customer names, emails or addresses.
VendorDue works out what your vendors earned from what Shopify already knows. It only reads: it can't change a product, an order, your stock or a price, and it never moves money in Shopify.
What it reads#
Your orders. For each order: its number and date; each item, with its product, variant, SKU, vendor, quantity, price and discounts; tax, shipping, tips and duty; whether it's paid, and the payments and fees behind that; whether it shipped, and the carrier's tracking; and any refund, cancellation or chargeback. If the customer paid in their own currency, it reads that too, with the rate Shopify used.
Your products. Name, vendor, product type, variants, SKUs, prices, Cost per item, which collections each belongs to, stock, whether it's active or archived, and the day it was created.
Reports. Shopify's own figures for profit, shipping labels and payment fees, where a vendor's share is worked out on profit.
These are the three permissions VendorDue asks for when you install: read orders, read products, read reports. It asks for nothing that writes.
What it doesn't keep#
- Customer names, emails, phone numbers and addresses. Shopify sends some of these with an order; VendorDue drops them on arrival. That's why you search by order number, not by customer.
- Card or bank details. Shopify never shares them, and VendorDue never asks.

When it reads#

Product changes, like a new vendor name or a new collection, are read the same way.
What it does with an order#
- Waits until the order is paid in full. An unpaid order, like one waiting for an invoice, counts once Shopify marks it paid.
- Gives each item to the vendor named on it in Shopify at the time of sale. An item with no vendor, or with your store's own name, is yours.
- Works out each vendor's share with their consignor rate on that day. See How a sale is worked out.
- Keeps the amounts Shopify reported with the sale, so it can always show its working, even after the product changes.
A vendor name VendorDue hasn't seen before becomes a new vendor marked New from Shopify. Names match whatever the capitals and spaces, so "alder ceramics " is Alder Ceramics, but punctuation counts: "Alder Ceramics." is a different vendor.
If an order changes in Shopify#
- Refunded: the refund comes off as its own line. See Refunds and returns.
- Edited after payment: an item added and paid for earns as Added to a sale. An item removed with a refund comes off as a refund. An item removed with no money back is left as it was, and Needs attention says "Shopify's copy of this changed", so you decide.
- Canceled: canceling doesn't refund in Shopify, so VendorDue waits until you refund it, or until you tell it the sale stands.
Nothing VendorDue recorded is rewritten by a later change. A change is always a new line, so the record shows what happened and when.
When it looks wrong#
An order is in Shopify but not in VendorDue#
It may be unpaid, from before your Record start, or very new. Press Check Shopify now. If it's still missing after that, see Finding a sale.
"Shopify stopped letting VendorDue read your orders"#
Shopify needs you to approve the app again, usually after a permission change. Open VendorDue inside Shopify once to reconnect; it picks up where it stopped.
"Reading your shop stopped part way"#
Shopify was slow or busy. Nothing is lost: the next check picks it up where it stopped.
"Reading your shop stopped working"#
Something went wrong on our side. We're told automatically and we're on it. Your record is safe; it'll catch up once it's fixed.
Common questions#
- Can VendorDue change my products or prices?
- No. It has no permission to write anything in Shopify. More
- Does it read orders from my point of sale?
- Yes. Counter sales come in like online orders, and they're shipped the moment they're sold, so they don't wait for shipping. More
- Why only 60 days back?
- Shopify lets an app read the last 60 days of orders. Anything older you can add as Owed from before on each vendor's page. More
- What happens to my data if I uninstall?
