How it works
How a payout lands
In short
On a vendor's pay day, their cleared sales, refunds and charges land together as one payout, numbered like P-2026-0142. From then its lines and total are fixed, it waits in To pay for you to pay it, and the vendor is sent it. Nobody has to close or approve anything.
A payout is one vendor's money for one pay day: every sale that cleared for it, less refunds and charges, with a total you owe them. VendorDue makes it by itself. You never close a month or approve a payout; your part is paying it.
What lands, and when#
At the start of each pay day, by your store's clock, VendorDue looks at each vendor and lands a payout when:
- Their pay day has come. From their pay day schedule: set days, some days after each sale, once they're owed enough, or when they ask.
- They have money that cleared. Sales whose holds have all ended. See Holds.
- The total is above zero, and at least your minimum payout, if you set one.
Everything that's cleared and due goes on it: sales, refunds since their last payout, charges and other lines. If you open Payouts, Overview or Activity early in the morning, before the hourly check has run, it lands them as the page opens.
A sale that clears later on a pay day lands that day too. If a sale ships at 10 am on the vendor's pay day, after their morning payout landed, the next hourly check lands it as a payout of its own, with its own number. A vendor can have two payouts on one day; nothing waits a whole cycle because of the hour it cleared.
A sale already past its pay day lands at once. When you install with past sales, or choose a schedule late, some sales were due on a pay day that has already gone. They land on the first check, and their row in Payouts, then To pay says the day they were due, counted as overdue from then.
Payouts also land on other days when you make them:

What a payout is#
Each payout has a number, like P-2026-0142, and a name that says when it landed and the days its sales are from: Landed 1 Oct, sales 3 to 30 September. Open one from Payouts, then To pay or Payouts, then History:
- Total, Paid and To pay, at the top.
- Timeline: when it landed, whether the vendor confirmed it, and every payment. See A sale's timeline.
- Messages, if the vendor asked about it.
- Calculation: what sold, the vendor's share, and every line under it, each opening its own sale.
- Download saves it as a PDF, the same one your vendor can download.

Once it lands#
It's fixed. Its lines and total never change. A refund on one of its sales comes off the vendor's next payout instead. That way the payout you paid and the payout they read are always the same document.

Emails go, at 8 am. You get "$590.40 landed in To pay", one email for everything that landed that day. The vendor gets "Your payout from Fernhill Pottery landed", with a link to read it. Both can be turned off in Settings, then Notifications. See Emails we send.
The vendor can read and confirm it. On their page, they see every line and the same working. Looks right to me confirms it, and the payout's timeline shows "Confirmed by Alder Ceramics". If something looks wrong to them, Ask about this opens a message about that exact line.
When nothing lands#
If a vendor's pay day passes with nothing for them, their row in Payouts, then Upcoming says why:
- Nothing of theirs cleared.
- They're under your minimum: "It waits until they're owed $50.00, your minimum."
- Refunds or charges came to more than what cleared: "They owe you $42.00, which comes off their next payout."
- Refunds cancel out what cleared exactly, so there's nothing to pay.
- You're holding their payouts.
Their vendor page says the same, so nobody is left wondering.
When it looks wrong#
A pay day came and nothing landed for anyone#
Check you have a schedule: in Settings, then Terms, under Schedule. With no schedule chosen, nothing lands by itself, and only Pay now makes a payout.
A payout has a sale I didn't expect on it#
Sales join the payout of the pay day their holds clear for, not the day they sold. A sale from late August that cleared on 2 September lands on the 1 October payout. Open the sale to see its days.
A payout landed with the wrong amount#
It can't be edited. Find what's wrong in its Calculation, then put it right with a line on the next payout. See Adjustments and corrections.
Common questions#
- Do I have to approve payouts?
- No. They land by themselves on their day. You pay them and record it. More
- Can I stop a payout landing?
- Hold the vendor's payouts on their Summary before the day. Nothing lands for them until you release them. More
- Why did a payout land at midnight?
- Payouts land at the start of the pay day by your store's time zone, which you'll see in Shopify's settings. More
