Send now with PayPal

In short

Connect your own PayPal Business account and you can pay vendors who saved a PayPal or Venmo address straight from your PayPal balance, several at once, with one press and a second sign-in step. The money goes from your account to theirs; VendorDue never holds it.

If your vendors use PayPal or Venmo, you can pay them from VendorDue instead of copying amounts into PayPal one by one. The money moves from your PayPal balance to their account. VendorDue sends PayPal the instruction and records what PayPal says; it never holds your money.

What you need#

  • A PayPal Business account approved for Payouts. PayPal decides that, not VendorDue: you ask them, and it can take a while. Until then, you can still use the PayPal file below.
  • Two-step sign-in on your own VendorDue account, with a passkey or an authenticator app. Every send asks you to prove it's you. See Before money moves.
  • Vendors who saved a PayPal or Venmo address on their own page. You can't type it for them. See Your PayPal or Venmo.

Connect PayPal#

  1. In PayPal's developer dashboard, create a REST app on your Business account and copy its Client ID and Secret.

  2. In Settings, then Payments, under PayPal, press Connect.

  3. Paste the Client ID and Secret. The Secret is "kept encrypted, and never shown again. Nobody at VendorDue can read it back."

  4. Choose Live. Sandbox is "PayPal's practice environment. Nothing real moves there."

  5. Press Connect and prove it's you.

Once connected, Settings shows your PayPal balance. If it says PayPal isn't showing it yet, turn on Transaction Search for the app in PayPal; it can take most of a day.

Disconnect "destroys the Secret here. Payments already sent are not affected." Only an Admin can connect or disconnect, and both send you an email.

Send#

  1. In Payouts, then To pay, tick the vendors to pay, and press the pay button in the bar.

  2. Vendors with a PayPal or Venmo address are grouped under PayPal or Venmo, with their total.

  3. Press the send button for that group, like Send $230.00 now, and prove it's you.

Each vendor's payout is Paid once PayPal takes it, and they get a receipt. The receipt and the payout's timeline say "Sent through PayPal" or "Sent through Venmo".

Send now pays whole amounts. To pay part of what someone is owed, record it as a payment instead.

When PayPal doesn't answer, or says no#

  • No answer yet. The row in To pay says "PayPal has not answered about $72.00 yet", and waits. Ask PayPal again checks; "asking again never pays them twice."
  • PayPal refuses one payment, like an address it doesn't recognise. That vendor goes back to To pay with the reason; the others are paid.
  • PayPal sends one back later, like an unclaimed payment. The payment is marked Sent back, the payout goes back to To pay, and you get an email: "A payment came back". Ask the vendor to check their address, then pay again.

Without connecting: the files#

You don't need to connect anything to save time. In the same sheet:

  • PayPal file: a file for PayPal's own Payouts page. Upload it there, and PayPal pays everyone in the group.
  • Wise file: for vendors with only an email, to pay as a Wise batch.

Then record the payments in VendorDue with the same Reference, which the files carry too, so your bank statement and VendorDue match.

Fees#

VendorDue adds no fee per payment or per vendor. PayPal's own fees are between you and PayPal, taken from your balance as PayPal sets them.

When a vendor changes their address#

When a vendor points payments at a different PayPal or Venmo address, the change waits 48 hours before it's used, and their old address and sign-in email are both told, with a link to stop it. Their row in To pay says "Payout details change on" the day it takes effect. That gives them time to catch a change they didn't make.

Common questions#

Can I send to a vendor who hasn't saved PayPal or Venmo?
No. Only the vendor can save where they're paid. Pay them another way and record it, or ask them to add one. More
Why does it ask me to sign in again?
Sending money is the one thing VendorDue guards hardest. A fresh passkey or code means a stolen session alone can't pay anyone. More
Who pays PayPal's fees?
You do, from your PayPal balance, as PayPal sets them. VendorDue adds nothing. More
Is Send now switched on for every store?
VendorDue can switch sending off for everyone while something is checked. If it is, Settings says so, and the files still work. More
