Messages and Ask about this

In short

Each vendor has one conversation with your store. It shows your messages, the payouts that landed and the payments you recorded, in one column. Pin the exact sale, payout, payment or rate you mean, so neither of you has to describe it. A message can go by email too.

"Which sale do you mean?" is the question Messages exists to remove. Every conversation is one vendor and your store, and anything with an amount in VendorDue can be pinned to a message.

The conversation#

Messages lists your vendors, the latest first, with what happened last: a message, "Payout published", "Payment recorded". Pick one and their conversation opens: "the messages, the payouts you published, and the payments you recorded, in one column." So when a vendor asks "did you pay me?", the answer is already in the thread above their question.

A number beside Messages in the sidebar counts what you haven't read.

Ask about this#

On a sale, a payout, a payment or a consignor rate, press Ask about this. The vendor's conversation opens with that record pinned to your next message. They see the same record, with its amount and working, and can open it from the message.

Vendors have the same button, Ask about this line, on each line of their payouts. When one asks, the question also shows on that payout's timeline, so the next person who opens it sees it was questioned.

Pin and attach#

The paperclip beside the message box adds:

  • A file or A photo, like a picture of a damaged item.
  • A payout, or one of its lines.
  • An order, or one of its lines.
  • A payment.
  • A consignor rate.

By email too#

Beside the message box, an envelope sends your message to the vendor's inbox as well: "Also email this to" their address. It comes from "Fernhill Pottery via VendorDue", and if they answer the email, the answer reaches you.

A vendor who hasn't accepted your invitation can still be written to, by email only: "They have no sign-in, so this goes to" their contact email.

When a vendor writes, everyone on your team with Messages a vendor emails to you turned on in Settings, then Notifications gets it by email.

What you control#

  • Messages from them, on the vendor's Access tab: whether they can write to you. Paused, "both of you can still read everything."
  • Only an Admin sends messages. A Viewer can read every conversation.

Messages are kept for 12 months after they're sent, then deleted. Anything you need longer, like an agreement you reached, belongs in a payout's line or your written agreement.

Common questions#

Can a vendor see my other conversations?
No. Each vendor sees only their own conversation with your store. More
Can I message several vendors at once?
No. Each conversation is with one vendor, so nothing meant for one reaches another. More
Why didn't my email reach them?
The thread says when an email wasn't delivered. Check their contact email on their Access tab. A vendor who stopped your store's emails can't be emailed. More
